Regulations of Participation in Integration Picnic

§ 1
General Information

  1. The organizer of the Integration Picnic is Lazarski University with its seat at Świeradowska Street, 43, hereinafter referred to as the ‘Organizer’ or ‘University’.
  2. The aim of the Integration Picnic is to familiarize new students with the structure of the university and get to know each other.
  3. The Integration Picnic will take place at the University on October 5th, 2023.

§ 2
Registration

  1. The participants of the Integration Picnic are first-year students who start their studies at Lazarski University in a given academic year.
  2. People who want to participate in the Integration Picnic must complete the application form that is sent to the first-year students’ emails and is available on the social media of Lazarski University, read the Information Clause regarding the processing of personal data and receive an e-mail confirmation of the application.
  3. Personal participation in the Integration Picnic means the obligation to comply with these Regulations. The content of the Regulations will also be available at the venue of the event. The participant is obliged to get familiar with the Regulations and accept them.
  4. Registration and participation in the event are tantamount to the participants' acceptance of the rules contained in these Regulations.

§ 3
Media materials during 
Integration Picnic

  1. In order to document the Integration Picnic, photos and videos that are taken during the event, will be published on the University's websites and on the University's social media accounts.

§ 4
Integration Picnic Concept

  1. The Integration Picnic is organized at Lazarski University in Warsaw on October 5th, 2023. The event is organized for students of the first year of Lazarski University.
  2. The aim of the Integration Picnic is to provide students will essential academic information regarding the studies and the university, to provide an opportunity to have a university tour, and to create a platform for the networking of the first-year students, as well as the information points coordinated by different departments of the university, such as Student Help Desk, Student Union, Career & Internship Department, Erasmus Department, etc.
  3. The event starts with the organisational meeting with the authorities of the university, such as Deans of the Faculties, Programme Directors, Deputy Programme Directors, representatives of the Registrar’s Office, Career & Internship Department, and others. After the meeting, students receive their ID student cards. The next part is a networking area with the information tables and attractions, such as grill picnic and a live concert.
  4. Participation in the Integration Picnic is free of charge.

§ 5
Integration Picnic Participants and Entries

  1. The condition for participation in the Integration Picnic is to register for participation via the form that is sent to the first-year students’ emails and is available on the social media of Lazarski University; to meet the conditions set out in §2 of the Regulations.
  2. Only registered participants from the first-year and ambassadors from the organisation team can enter the Integration Picnic.
  3. On the venue, there will be student coordinators – ambassadors from the organisation team appointed by the Organizer.
  4. Each person taking part in the Integration Picnic should be in good health, enabling participation in the Integration Picnic.
  5. It is strictly prohibited to bring alcohol and other intoxicants to the event.
  6. It is strictly prohibited to offer an alcohol and other intoxicants to any participants of the event.
  7. In the event of a violation of these Regulations, the Organizer has the right to exclude the participant from the event at any time during the Integration Picnic. The Organizer's decision in this matter is final.
  8. The Organizer may refuse the participation of the participant in the Integration Picnic if participant is under the influence of alcohol or other intoxicants.
  9. Participants may stay on the premises until the end of the event and then leave the event venue without undue delay which is at 19:30 on the October 5th, 2023.
  10.  Participants behaving rudely, vulgarly, in a way that is dangerous to others or violating generally accepted social norms, may be escorted from the venue by the Security of the event.
  11. Each participant of an event is obliged to read the Regulations and comply with the provisions contained therein.
  12.  Event participants are obliged to behave in a way that does not threaten the safety of other people in the venue.
  13.  Participants are obliged to strictly follow the instructions and instructions of the event organizer's security services.
  14.  Participant are obliged to inform the organizer or security services about any fire, threat to life, human health or property noticed.
  15.  It is prohibited to bring into the premises: alcoholic beverages and intoxicants, corrosive or pyrotechnic substances, gas spray containers, glass packaging, weapons and explosives and other objects and tools that may threaten the safety of event participants (If items are questioned, they will be collected by security services when brought into the club and handed over to authorized authorities).
  16.  The Organizer does not store items that are prohibited to be brought or possessed during the event/
  17.  It is prohibited to start fires and destroy information boards, waste bins, benches and any other objects and property, as well as to arbitrarily move equipment and property located in the venue.
  18.  It is prohibited to act or shout or promote content that provokes or incites disruption of order and security, that may constitute a source of conflict, or that is offensive or humiliating to other people due to their gender, race, religion, age of belief or for any other reason.
  19. The registration wristband allows for one-time entry to the event. This means that, except in urgent and justified cases, the entry wristband becomes invalid after leaving the area.
  20.  Participants who do not comply with the provisions of the above regulations and do not follow the instructions of the security and information services may be excluded from the event at any time during the Integration Picnic. The Organizer's decision in this matter is final.

§ 6
Course of the Integration Picnic

  1. The event starts on October 5th, 2023, at 12:00.
  2. The event starts with the registration where each participant receive an information about the Integration Picnic and an wristband for the participants of the event.
  3. The meeting with the authorities of the university will start after the registration is over: English studies in one room, and Polish studies in another. Participants will be coordinated by the ambassadors from the organisation team.
  4. ID collection process will be happening right after the meeting with the authorities in the same place.
  5. The following part of the event is a grill picnic with a networking area, information points. Students who want to take part in the university tour, will be coordinated by the ambassadors from the organisation team and members of the Admission Department.
  6. A live concert and a grill picnic is a final part of the Integration Picnic.

§ 7
Processing of Personal data

Processing of personal data of participants registering for the Integration Picnic.

  1. The Administrator of the personal data is Lazarski University with its registered office in Warsaw, Świeradowska Street 43, 02-662.
  2. The Administrator appointed a Data Security Officer who can be contacted via the following email – iod@lazarski.edu.pl.
  3. Your personal data will be processed in order to participate in the Integration Picnic of the academic year at Lazarski University pursuant to art. 6 sec. 1 let. b - implementation and taking actions to perform the contract and art. 6 sec. 1 let. f GDPR, the legitimate interest of ensuring contact with participants and realization of the approved calendar of events of the academic year by the university.
  4. Your personal data can also be processed in case you participate in the Integration Picnic pursuant to art. 6 sec. 1 let. b - implementation and taking actions to perform the contract and art. 6 sec. 1 let. f GDPR, the legitimate interest of ensuring contact with participants and taking care of the proper process of communication and integration of students.
  5. Your personal data will be kept by the Administrator for the period necessary to implement your participation in the Integration Picnic; if you participate in the Integration Picnic.
  6. The recipients of your personal data will be entities authorized to obtain personal data on the basis of legal provisions. Personal data may be transferred by us to entities that operate the Administrator's ICT systems and provide ICT tools or provide cloud, email and hosting services.
  7. Your personal data will not be subject to automated decisions, including profiling.
  8. You have the right to request access to your personal data from the Administrator and the right to rectify, erase or restrict processing of the data, as well as the right to transfer your data.
  9. You have the right to lodge a complaint with the supervisory body - the President of the Personal Data Protection Office.
  10. You are entitled to object at any time to the processing of your personal data based on Article 6 sec. 1 let. f of the GDPR for reasons connected with your particular situation.
  11. Providing personal data is voluntary, but necessary to achieve the purposes for which they were collected. Failure to provide the data will result in the inability to participate in the Integration Picnic.
  12. Your personal data will not be transferred to a third country / international organizations unless it is required by the legal obligations of the Administrator.

§ 8
Final Provisions

  1. These Regulations come into force on the day of publication on the University's website.
  2. In matters relating to the course of the Integration Picnic, not provided for in these Regulations, the decisive vote belongs to the Organizer.
  3. The Organizer reserves the right to postpone, extend or interrupt the Integration Picnic for valid reasons.
  4. Any changes to the Regulations will be available on the University's website.
